Open Form BuilderProject mileage
Calculate a driving route from your saved starting address to this job and back. Review the miles and purpose before saving. JobForge does not track your location.
Billing
Job and invoice balances are two views of the same work. Do not add them together. Remaining job value uses saved estimates, changes or closeout amounts less payments, with linked invoice sales tax removed. It may include work not yet invoiced. Draft/void invoices and quote-only jobs are excluded from amounts owed.

Crew labor could not load. Totals are incomplete. Install the crew database setup and refresh.
Accounting
Projected job totals
These forecasts include leads and estimates and are separate from actual revenue. Uncollected approved job value excludes jobs that have not been approved. Total job values include payments already received. Projected profit uses paid and planned job costs, before company overhead; future costs not yet recorded will reduce it.
Project breakdown
Project breakdown separates all-time payments received from projected job totals. Actual profit above also deducts company operating expenses.
Costs, refunds & payments
Filter or correct recorded entries here. To change a job value, open the project and edit its estimate, change order or closeout. Saved form entries open saved forms; invoice payments open Invoices.
Dates, type and search filter this list only. Excel and print include the selected project breakdown and filtered list. CSV exports the filtered list. Entries without a date are excluded when a date range is selected. Downloads are snapshots; editing a downloaded file does not change JobForge.
How these numbers work
Actual revenue is money received and recorded, even for a deposit on an unfinished job. Linked invoice sales tax is excluded from revenue and profit; unlinked payments need any sales tax removed before recording them as revenue. Unpaid completed jobs stay in projected job values until payment is recorded. Actual gross profit is revenue excluding linked sales tax minus paid job expenses. Projected total job profit is the total job value minus paid and planned costs; it is a forecast, not additional money received. Expenses exist only when you record money the business actually paid. A material amount on an estimate does not become an expense by itself, even when the estimate says the contractor will buy it.
Older costs on unfinished jobs are treated as planned until marked paid. Historical completed/paid job costs retain their existing treatment. In the entry list, use Mark paid and enter the payment date, or Mark planned to correct an unpaid cost. Changing job status does not pay a cost.
If an older job was manually adjusted to force the previous dashboard totals to match, open Job Records → Costs and remove those old adjustment entries. They are real saved cost records and JobForge will not silently delete them.
Crew & Time
Schedule workers, record actual hours, and track labor owed and paid. Job labor belongs to that job; shop, training and other company time belongs to company overhead. Enter each labor payment here once—do not also enter the same payment in Costs or Company Expenses.
Clock in / out
Clocks are saved online. Closing the app does not stop a clock. Clock-out submits hours for manager approval. For forgotten or incorrect clocks, edit the entry below.Crews
Three app-access seats are separate from unlimited employee records. Superintendent → general foreman → foreman → employee. Supervisors and crews do not need logins.
Organization roster
Employee records do not grant app access. Only the owner sees or changes pay. Crew job titles do not change account permissions.
Pay rates and labor costs
Use the worker's pay rate, not your customer billing rate. Leave additional employer cost at 0 unless you track those amounts here. Mark paid records the full calculated cost; include only costs actually paid. Recorded hours awaiting approval stay in planned job costs. Rate changes affect new records; existing shifts and hours keep their saved rates.
Schedule a worker
Record actual time
Enter actual start and end times, including any missed clock. Submitted hours stay in planned costs until the owner records payment.
Approval and payment details
Managers approve submitted hours to show labor owed. The owner uses Mark paid to record the payment date and move that labor into actual expenses. This records labor costs; it does not send wages or calculate overtime, withholding or payroll taxes. Each entry keeps its saved rate. Review overtime separately.
Schedule & timesheets
Filters select the lists by shift start date. Summary cards and CSV include all loaded records. Times display in your device's local timezone.
Scheduled shifts
Actual work
Company Expenses
Record costs for the company itself. Keep project-specific costs in Job Records. Enter each purchase once; a receipt is supporting evidence.
These totals follow the filters above. Accounting includes operating expenses in business totals and exports; the owner’s tax package includes operating expenses and a separate asset review list.
Tax Center
Tax calculation inputs
Cash basis uses dated customer payments. Accrual basis uses invoice subtotals by invoice date. Expenses use their recorded dates in either method. Choose the method you use with your tax preparer. Current-year projection is optional.
Tax preparer package
Prepare recorded income, expenses, mileage and equipment details for your accountant. Includes company records and your own personal tax inputs/payments. Projections are excluded. Review before sharing.
Up to 30 files, 30 MB total. Selected documents remain on your device. Nothing is uploaded, scanned or sent automatically. To include receipts already saved under a job, download them from Photos & Files first, then select them here.
IRS form references
The printable summary and CSV are workpapers to help prepare your return. They do not fill or submit official forms.
Additional business expenses and tools
These records add to expenses already entered under Job Records → Costs. Do not enter the same purchase twice. Tools or equipment saved as “needs review” are kept in the asset list and excluded from the tax estimate until their treatment is determined.
Business mileage
Record the date, vehicle, business reason, route, and miles. The estimate applies the IRS standard mileage rate for that trip date. Don’t use this method together with the same vehicle’s actual operating expenses.
Federal estimated tax payments
Enter federal estimated payments or extension payments already made for the selected tax year. These reduce the “still owed” estimate.
Company & Team
Team Members
Owners manage billing and access. Managers manage jobs and business records. Employees see assigned jobs and can add daily logs and upload files. Company tax expenses and mileage are visible to owners. Personal filing assumptions and federal payments stay private to each login.
Invite a User
Your plan includes three people total: you and two teammates. Pending invitations reserve a spot until accepted, canceled, or expired. No invitation email is sent automatically.
- Create an invitation using your teammate’s email and access role.
- Copy the link below and send it by text or email. Save it so they can reopen it.
- They open the link and sign in with that email, or create an account.
- If they create an account, they confirm their email, then reopen your invitation link and tap Accept Invitation.
Assign Projects
Employees only see jobs assigned to them. Owners and managers can access all company jobs.
Former team members
Removing a member ends their company access and frees their seat. Their work stays with the company under their original name. Use a new invitation and assignment for a replacement.
Project assignment history
Assignments transfer access, not ownership or authorship. Dates below show when a project changed hands. Older assignments start with a setup snapshot.
Team Hub

Shared cloud storage for your company’s job files, receipts and Team Hub attachments. Archived and retained files still count. Database records, saved form text and embedded logos use separate database space and are not counted here.
